I managed the successful implementation of a new flexible benefits platform to modernise employee reward and engagement. The project introduced online self-service functionality and holiday trading, giving employees greater control and visibility over their benefits. Working closely with HR, the Benefits team, and a third-party supplier, I oversaw all aspects of delivery, from requirements gathering and system configuration to user acceptance testing and launch communications, as well as post-live monitoring.

Deliverables

Implementation of a new flexible benefits platform with single sign-on access for all employees.

Delivery of holiday trading functionality, allowing employees to sell annual leave directly within the platform.

Launch of multiple new flexible benefits available for employees to purchase via a monthly salary deduction or their holiday trading allowance.

Development of a detailed process ownership framework defining responsibilities between HR, Benefits, Payroll, and the supplier.

Data migration and system configuration, ensuring accuracy of benefits information and eligibility rules.

Delivery of training materials and launch communications to promote engagement and drive adoption.

Schedule creation for annual benefits windows and reporting protocols to support ongoing supplier interactions.

Challenges

Clarifying ownership and accountability.

  • Overcame by facilitating collaborative workshops to map out each process end-to-end, ensuring clear roles, responsibilities, and escalation routes were agreed and documented before go-live.

Ensuring data accuracy during migration.

  • Resolved through detailed data validation processes, reconciliation checks, and close collaboration with HR & Payroll to ensure the integrity and completeness of all records.

Aligning system configuration with complex benefits rules.

  • Addressed by running configuration workshops with HR and the third-party supplier to test multiple scenarios and refine workflows before final deployment.

Driving strong employee engagement and adoption.

  • Achieved by developing and executing a robust communication and engagement plan, including teaser campaigns, launch events, and easy-to-follow user guides.
